General Rental Information
Rental equipment may be picked up and returned during Mid-Co A/V, Inc. normal business hours 8:00 a.m. to
5:00 p.m. CST Monday through Friday as per dates in rental agreement.
Rental charges commence on the day the equipment is picked up and end on date equipment is returned.
However, no daily charges will be applied for days equipment is picked up after 2:00 p.m. on the day prior to
use, and/or day when returned by 10:00 a.m.
Mid-Co A/V, Inc. is closed Saturdays and Sundays except by appointment. Special weekend rentals may be
available upon request.
Equipment returned before the end of the contracted rental period may receive pro-rated credit for the unused

Rental prices may be subject to change. Please verify the current rental rate prior to signing the rental
Equipment may only be reserved with a signed rental contract. Equipment not formally reserved remains
available to the next customer requesting it.
Payment of rental fees, applicable taxes, and security deposits is required before the start of the rental term.
We accept VISA, MasterCard, American Express, cash and checks with valid ID. Payments made by credit card
are not eligible for “cash only” discounts and are due when rental is picked up.
Credit applications for business, government, houses of worship, and educational customers are available upon
request. These applications may take up to 2-4 weeks to process; please allow plenty of time if you will be
applying for credit terms.
Security Deposits/Replacement Guarantee
A credit card with an available limit high enough to cover the replacement value of all equipment being rented
is required as security from customers lacking established Mid-Co accounts. Security deposits are not required
from customers with an established credit account with Mid-Co A/V Inc..
Mid-Co A/V, Inc. reserves the right to impose the full replacement value of the rental order via renter’s credit
card at the time rental equipment is picked up. If a customer does not have a credit card with a sufficient
credit limit, a cashier’s check or cash deposit for the full replacement value of the equipment is required.
Personal checks and debit cards will not be accepted as a deposit. Proper identification is required.
Loss or Theft/Damage/Insurance
The renter is wholly responsible for any loss of or damage to the rental equipment during the rental period.
Insurance coverage is not offered by Mid-Co A/V. Proof of adequate financial resources for the full replacement
value of the equipment, as well as personal accident liability insurance while using equipment, may be required
prior to the rental. Rental fees will accrue on equipment that is lost or stolen until Mid-Co A/V is reimbursed
for the full replacement cost of the item(s). Replacement costs for equipment are available upon request.
Additional Equipment Charges
The renter is fully liable for any and all damage to or destruction of rental equipment. Equipment must be
returned in the same condition as it was when checked out or damage and/or cleaning charges may apply
(including, but not limited to, fog Juice). All cables must be returned neatly coiled and cleaned to avoid
additional fees. Additional rent may be charged on returned damaged equipment until the item can be repaired
Spare lamps are provided upon request at no charge, provided burnt-out lamps are returned with the
equipment at the end of the rental period. A charge will be applied for changing a lamp if the original lamp was
in working order. Any lamp usage in excess of the ten(10) hours per rental day limit will be charged
additional hourly lamp usage rate.
Equipment not returned as per rental contract will be charged for additional rental time, this includes all time
the equipment is in the renter’s possession even if the equipment was not in use.
Cancellations require a 48-hour notice prior to the scheduled pick-up/ship time or a one day additional rental
fee may be charged.
All equipment is tested thoroughly before it is rented. Equipment is available for customer evaluation and
testing at the time of the rental pickup/delivery and instructions on the use of equipment is available on
request. The renter is expected to understand the operation and limitations of the rental equipment. Mid-Co
A/V is not responsible for damage caused by improper use or setup of equipment.
In the unlikely event of equipment failure, please notify a Mid-Co A/V rental associate as soon as possible to
obtain tech support or replacement equipment. Failure to understand equipment will not be accepted as reason
for non-payment of rental charges.
Specifications stated in Mid Co A/V catalogs are based on data supplied from the manufacturers. Our rental
equipment is thoroughly tested and we make every attempt to keep equipment to 70% or better of new
equipment’s base values.
Many of our rental items can be shipped. The customer is responsible for round-trip shipping costs. For your
convenience, Mid-Co A/V can include pre-paid return ship tags with your order and bill you for round-trip
shipping costs. Please let us know if you'd prefer to use your UPS, FedEx, or freight account.
